1. Eligible Clinical Protocols

We treat the body as an architectural system. The following services are generally eligible for reimbursement when prescribed for specific conditions (such as chronic pain, PTSD, insomnia, or injury recovery):

• Clinical Float Therapy: Sensory deprivation for spinal decompression and cortisol regulation.
• Rubicon Resonance Flow: Therapeutic massage and fascial reconstruction.
• RoXiva Stroboscopic Light: Neural entrainment and nervous system regulation.
• Vibroacoustic Liquid Sound Bed: Somatic vibration for deep tissue release.

2. Direct Payment Protocol

We accept HSA and FSA cards directly at our terminal.

Rubicon Wellness is officially coded as a health/medical service provider. This means you can typically swipe your benefits card just like a standard credit card.

Contingency: While our system is compliant, individual insurance plans retain the final say on authorized transactions. If your specific card is declined, simply pay with a defined payment method and we will provide an itemized receipt (Superbill) for you to submit for reimbursement.

3. Compliance: The Letter of Medical Necessity (LMN)

Important Note for Washington State Clients:

To ensure your expenses are "audit-proof," the IRS typically requires that you have a Letter of Medical Necessity (LMN) to justify the expense. This document effectively "unlocks" your HSA/FSA funds for advanced modalities like Light and Sound therapy.

The Protocol:

1. Download our LMN Template below.
2. Have your physician or licensed provider (MD, ND, DC, DO) sign it.
3. Retain this document in your personal tax records. (For your privacy and security, Rubicon Wellness does not store medical records on-site).

4. Memberships & Packages (The Audit Trail)

You may utilize HSA/FSA funds for Memberships and Multi-Session Packages, provided you adhere to the following rules:

• The Timeline: Your Letter of Medical Necessity must be valid for the entire duration of the membership or package.
• The Expiration: FSA funds often expire on December 31st. Ensure your physiological resets are completed within your plan’s active window.
